How It Works

With MovingWaldo, you get instant access to multiple moving quotes in just a few minutes, allowing you to compare your options and choose the best mover for your needs in real time. Once you’ve reviewed your quotes, you can request your booking online to secure your movers. Here’s how it works:

Step 1: Fill out our moving form

To provide you with  accurate quotes, our platform requires key details about your move. This information helps our algorithm calculate precise estimates, including a breakdown of all charges. You will need to provide:

Move details

  • Origin address – The address where the move will begin.
  • Destination address – The address of your new location.
  • Move date – The date of your move, and desired arrival window, to ensure availability and accurate scheduling. If you are flexible with your date, you can check this option in the form so our system can make sure to provide you with the best rate.

Inventory details

  • Home size – Indicate whether you are moving from a studio, apartment, condo, or house.
  • Approximate number of boxes – An estimate of how many moving boxes you will have.
  • Approximate number of furniture pieces – Helps movers assess the effort and vehicle size required.
  • Special items – List items such as large appliances, safes, pianos, or fragile objects that require special handling.

Step 2: Receive and compare your quotes

Once we have your move details, our system matches you with local movers in our network and generates tailored quotes for easy comparison. The platform filters out movers who cannot accommodate your moving needs or are unavailable on your moving date, ensuring you only see relevant options. Each quote will then provide a comprehensive breakdown, including:

Moving labor

  • Estimated number of hours required for loading and unloading
  • Estimated number of hours required for packing services if they are needed.
  • Estimate number of hours to transport your belongings from origin to destination
  • Number of movers required to perform your move
  • Hourly rate for labor

Trip and travel fees

  • Truck fee (if applicable)
  • Estimated time required for movers to travel to and from your locations and hourly fee if applicable

Additional charges

  • Special item handling fees (e.g., pianos, safes, large appliances)
  • Stair fees (if applicable)
  • Any unique charges based on your specific move requirements

Because all quotes are calculated based on the same criteria (number of movers, estimated hours, and included fees), you can compare your options transparently and make an informed decision.

Step 3: Request your booking

After selecting the best quote, you can request your booking and submit a $100 deposit. If you change your mind, you have up to 10 days after signing to receive a full refund unless your move is in less than 72 hours.

What happens after I make my deposit?

  • Booking confirmation email – You will receive an email confirming your request.
  • Agent review – A MovingWaldo agent will review your details to ensure accuracy.
  • Follow-up if needed – If any details are unclear, an agent will reach out for clarification or send an updated quote if necessary.

Step 4: Confirmation

Once our team reviews and approves the details, your selected mover will receive the request and confirm the booking, usually within 24 hours, though it may take up to 48 hours. You’ll receive an email confirmation once your mover accepts.

What if my mover declines the request?

While 95% of bookings are accepted within 24 hours, a mover may occasionally refuse a moving job. If this happens:

  • Internal agent notification – Your dedicated agent will be notified instantly and will review your situation.
  • Alternative mover selection – We will find another mover in our network to accommodate your move.
  • Updated quote – New pricing based on the available moving company will be provided.
  • Refund option – If you do not want to proceed with a different mover, your deposit will be refunded.

Step 5: Moving day

On the scheduled day, your selected moving team will arrive within the selected time window and begin your move. Our moving partners have access to their Partner Dashboard calendar to ensure they have all necessary details and receive reminders about booked moves.

If you encounter any issues on moving day, call our team at 1-844-258-6683, and we will assist you immediately.

Step 6: Billing

Once your move is complete, payment is processed online through our platform, so you don’t need to pay the crew directly. Movers enter all billing details in their Partner Dashboard, and our system automatically charges the credit card used for the deposit. You will receive your invoice by email, ensuring transparency with no hidden fees.

What if there is an error on my invoice?

If you notice a mistake on your invoice, please contact our team within 24 hours of receiving it. We will review the details with you and the moving company to make any necessary corrections. Since payments are processed through MovingWaldo, any refunds will be issued directly by us.

Billing transparency

  • No unexpected charges – Movers cannot modify hourly rates or add services without our prior approval.
  • Accurate billing – Movers log only the time required for your move, and all charges must align with your original quote.

Since payment is collected by MovingWaldo, it ensures the movers’ cooperation in case any issues arise. The moving company will not receive payment until a fair resolution has been agreed upon.

Step 7: Leave a review

Your feedback helps us maintain the high service standards we require from our partners. By leaving a review, you contribute to a better experience for future customers and help others choose their movers based on trusted reviews.

You’ll receive a link via email to leave a rating and written feedback.

Why does it matter?

Your review helps us monitor and improve service quality, ensuring that only the best movers remain in our network. It also helps other users learn about your experience and make an informed decision, as your review will be displayed to future users.

What if damages occurred during my move?

MovingWaldo remains available to assist you even after the completion of your move. If damages occurred during your move, we will ensure the situation gets resolved quickly. 

The moving company which performed your move is fully insured with a duly registered insurance company for public liability and property damage.

For your information, basic protection in the moving industry is 60 cents per pound per item. Most of our partners offer additional coverage. There are associated fees, and the purchase of this protection must be made before the move. Ask your booking agent for more details.

In case of damages during the move, the moving company will be held liable. This does not cover damages that occurred before the move or damages resulting from undisclosed conditions existing before the start of the move.

Claim process assistance

While claims must be resolved directly with your moving company, MovingWaldo is dedicated to supporting you every step of the way. To do so, we have a page dedicated to our claim process, we strongly encourage reviewing this page prior to the move. Please note the following:

  • The claim process must be started as soon as possible. Please fill out this online form or reach out to us within 24 hours after the move.
  • Your move must be paid in full in order to process a claim.

How our claim process works

If you notice any damage after your move, please fill out our claim form available here.

In the form, you will be asked to provide details about the damage, including:

  • The affected item
  • The nature of the damage
  • The item’s weight
  • Any other relevant information

Once we receive your form, an agent will review it to ensure all necessary details are included. If any information is missing, we may reach out for clarification.

After verification, we will forward your claim to the moving company, and you will receive a copy of the email for reference.

The moving company will review the information and contact you to discuss a resolution. Possible solutions may include:

  • Repairing the damaged item (if feasible)
  • Providing monetary compensation
  • Replacing the item

The resolution offered will depend on the type and extent of the damage. However, the moving company may deny a compensation request if they can provide sufficient evidence that they were not at fault.

At MovingWaldo, we actively follow up with the moving company until a fair resolution is reached. If an agreement cannot be made, we will intervene to help find a suitable resolution.

Cancellation and rescheduling policy

Cancellation policy

  • You can cancel your move within 10 days of accepting the estimate if it’s at least 72 hours before the scheduled date by emailing bookings@movingwaldo.com.
  • After 10 days, cancellations made at least 72 hours before the move will incur a $100 fee.
  • Cancellations made less than 72 hours before the move will be charged 3 hours at the hourly rate in the estimate.

Rescheduling policy

  • Requests must be made at least 72 hours before the move.
  • Rescheduling within 72 hours will incur a fee of 3 hours at the hourly rate in the estimate.
  • The original moving company’s availability is not guaranteed. If unavailable, MovingWaldo will help find a new provider, and the estimate will be updated based on the new provider’s pricing.
